Gryph Mail Extensions

The Archive Add-on allows you to automatically move your messages to an archive folder and separating them by year, month or sender depending on your preference.

Archiving messages

  1. Select the message(s)/conversation(s) you want to archive.
  2. Click on the archive button.

  3. If you click on the downwards arrow you can select whether to archive in folders by year, month or sender.

  4. The option selected will be saved and is the default when clicking on the button.
  5. If there is no "Archive" folder, a new one will be created.*
  6. The message(s) will be moved to the corresponding subfolders under Archive.

Batch Archiving

In order to archive a number of messages without having to select them manually you can make use of the "Archive old messages..." option:

  1. Click on the downwards arrow next to the Archive button to open the dropdown. Archive old emails option.Archive old emails option.
  2. Select Archive old messages...
  3. Enter the criteria for the batch archiving process.***Batch archiving options.Batch archiving options.
  4. Click on Archive
  5. If you selected the option "Export messages" then a download dialog will pop-up. Select the location for you tgz file and click Save.
  6. If you selected the option "Move messages to Trash after exporting", please wait until the tgz has finished downloading and then click on Continue.

Auto-archiving

When setting auto-archiving, the add-on will run a batch archiving process the first time you login everyday.

  1. Click on the downwards arrow next to the Archive button to open the dropdown.Auto archiving optionAuto archiving option
  2. Select Auto Archiving...
  3. Select whether to enable the auto archiving feature.Enabling the auto archiving featureEnabling the auto archiving feature
  4. Enter the criteria for the auto archive.
  5. Click on Save.

 

Notes:

* If there is already an Archive folder, the folder created will have a numeric suffix, e.g. Archive 2

** This add-on does not increase the amount of space available,  it simply orders and moves the messages to a folder out of the inbox.

 *** Messages are moved to the Trash instead of being deleted as a way for the user to recover any message by mistake; if you are satisfied with the results you can proceed to empty the Trash folder in order to free space.
