Create
Lists at U of G may be established for groups such as an academic course, a group of people who pursue a particular academic or research interest, or members of a club or committee. Each list is controlled by one or more list owner(s). The owner of a list is responsible for maintaining and managing the list. There are four, standard type of lists:
- Public Discussion
- Anyone can join this list; any member can post.
- This type of list is for people to have a discussion over email and is open to the public.
- Private Discussion
- List owner adds subscribers to this list; any member can post.
- This type of list is for people to have a discussion over email, but is by inivitation only.
- Private Moderated
- List owner adds subscribers; posts must be approved by list editor.
- This type of list is for a moderated posting, where an editor approves messages by members before they are sent to the list. Membership is by invitation only.
- Private Announce
- List owner adds subscribers; only the owner can post.
- This type of list is for announcements, which only a small group of people may send to the lsit, and is by invitation only.
Requesting a Mailing List
Staff, Faculty and Graduate Students may request a mailing list at any time; undergraduate student clubs may have a list request sponsored by an Executive member of the appropriate Student Government (such as the Central Students Association, Interhall or a college government such as College of Biological Sciences Student Association).
Download or open the Listserv List Request Form to request a mailing list.
To request a mailing list:
- Open the Request Form - this is an electronic PDF form (you will need Adobe Acrobat Reader to use this form)
- Fill out the required information
- Click "Submit" on the form - this will automatically attach the form to an email message to CCS
- You will need to have a mail client, such as Outlook Express or Thunderbird, installed on your computer for this step. If you use Gryph Mail or another web-based mail client, you will have to save the form and email it to 58888help@uoguelph.ca and attach the form yourself.
- Send the email message to the CCS Help Centre. Depending on the time of year, it may take up to 5 business days to complete your request. Once your request is completed you will be contact by email with information on how to start using your mailing list.
If you have questions about creating a mailing list, please contact the CCS Help Centre at 58888help@uoguelph.ca. Before you request the creation of a list, be sure you are familiar with the Owner responsibilities listed below.
Owner Responsibilities
- Operation of the list must be approved by a full-time faculty/staff member, graduate student or undergraduate PSO executive member at the university, who is the sponsor for the list. The sponsor confirms that the list meets the criteria below. The sponsor provides CCS with a contact in the event that a system problem arises or an abuse of the list is detected.
- A list owner must be designated to maintain the list, answer questions about the list, track down email address changes, remove subscribers who violate list policy and remove addresses causing mail loops. When absent, the owner must ensure that someone else performs these tasks.
- The list owner must take on the responsibility of reading the mail to the list regularly, preferably daily.
- The list should further one of the purposes of the university: administration, education, research, community service.
- The list must conform to the University of Guelph's Acceptable Use Policy and Guidelines.
- Use of the list conforms to policies of the networks that the University of Guelph is a member of. For example, commercial advertising and chain letters are strictly forbidden.
In situations where list activities or contents are interfering with the normal operation of the Listserv server or network, CCS will notify the owner (or sponsor) of the list. CCS maintains the right to withdraw services to a list if problems are not corrected.
