These processes may provide more consistent reliability – they may not be suited to every user.
- Do regular verification that your BlackBerry device is indeed synchronized with Gryph Mail (especially calendar items). Notify the CCS Help Centre ( x58888 ; 58888help@uoguelph.ca) when you determine inconsistencies. Opening a Help Centre incident automatically notifies all members of the Gryph Mail support team. The faster that we know of problems, the better the potential to lessen the impact on all users.
- If you notice that both mail and calendar has stopped synchronizing, first try turning off your device and pulling out the battery, wait 30 seconds and then pop it back in. If it hasn’t started synchronizing within 5-10 minutes, please submit a ticket through the CCS Help Centre.
- Keep your BlackBerry mailbox size as small as possible. If you are experiencing lags in receiving mail on a consistent basis, it is very likely that your mailbox is too big.
Ways to reduce your mailbox:- BlackBerry devices offer an option to only retain email on your device for a period of time. After this period, the email will be removed from your BlackBerry mailbox, without impacting your Gryph Mail mailbox. On your BlackBerry device, while in mail go to: Options > General Options > Keep Messages: Select 15 days or 30 days.
- Be mindful of email and calendar entries with attachments. If possible, save attachments to a file directory outside of Gryph Mail and delete the email/calendar entry.
- Set up filters for messages you don’t need redirected to your BlackBerry (e.g. mailing lists) that you can view on Gryph Mail at a later time. On your BlackBerry device, while in mail go to: Options > Email Filters > click the menu button > select new > create the filter > click the menu button again > save. Messages that meet the filter critera will not be delivered to your device but will be delivered to your Gryph Mail.
- If you are willing to delete messages twice (in your BlackBerry and within Gryph Mail) it is possible to prevent two-way synchronization. You can configure your device to receive new email, delete the email from your BlackBerry and not have it deleted from Gryph Mail. This will allow you to delete your BlackBerry email and not impact Gryph Mail, thereby keeping the BlackBerry inbox smaller. However, it does require you to delete the email from Gryph Mail when you no longer require the email. Go to:
Options > Email Reconciliation > Delete On: Handheld
- If you choose to turn off wireless synchronization for your Address Book, it’s still a good idea to synchronize it periodically in the event that you need to wipe your device. For example, if you have contacts that are only on your Blackberry and not on Gryph Mail and for whatever reason you have to wipe your device, those contacts will be lost. You could backup and restore your contacts but it will duplicate for you.
- Please be aware that any activity you perform on Gryph Mail or your device can impact other users on the same server. For example, if you create a repeating meeting with many instances and there are many attendees, this can put a heavy load on the server and can cause it to significantly slow down as it tries to catch-up and synchronize. Another example is if you delete or move hundreds of messages at one time on your Gryph Mail or BlackBerry, it will affect the performance of the server for all users and you may experience lag during this time. For this reason we recommend that you perform mass deletes, moves, invites, etc. during non-business/peak hours.
