Webex Web Client Version

If you don’t have the desktop version of Webex installed on your computer, you can still use Webex via its online portal. Connecting to the online version of Webex:

  1. Open a web browser and go to https://uoguelph.webex.com.
  2. Click the blue “Sign In” button in the top left corner.
  3. The browser will show the Single Sign-On page. Enter your University of Guelph login ID and password.
  4. You should now be logged into Webex.

Note: If you do not have a Webex account you will need to contact your local IT administrator or your department manager to get registered for Webex.


To Schedule a Meeting: 

  1. Click on Meetings from the Webex dashboard. Then the Schedule a Meeting blue button will pop up. Or click on Schedule a Meeting located in a block on the right side of the Home page to go straight to this. 
  2. A form will appear with the title Schedule a Meeting.
  3. Fill in the details for your meeting. Set the time of the meeting, duration, and invite participants. Note: Meeting topic and Meeting password are mandatory. If you click on Show More additional options will become available, such as setting an agenda or alternate host.
  4. Click on Schedule. The meeting is now setup and invitations will be sent via email to participants.

Note: If the meeting is scheduled for that day within less than 10 minutes the Schedule button will be replaced with Start.

As the host of the meeting you can make changes to the meeting such as the date or time, inviting other participants or reminding participants that haven’t joined the meeting yet.

  1. Click on Meetings from the Webex dashboard. You should see a list of your upcoming meetings.
  2. Click on the title of the meeting that you wish to edit. When hovering over the text it will turn blue.
  3. There are a variety of icons to click that will allow you to edit, cancel, and add a meeting to your calendar. The pencil icon allows you to edit, the trash can allows you to cancel, and the + icon adds to your calendar.
  4. Click on the pencil icon to edit the date or time of the meeting, duration, and add/invite participants.
  5. Click the blue Save button to confirm your changes.

Note: A new email will be sent out to your meeting invitees with the updated meeting information.

There are a few ways to join a scheduled meeting. The following are two of them:

Method 1

  1. In the invitation you received via email there is a link for you to join the meeting. Click on this link.
  2. A Webex page will load in your web browser. Enter your name and email address.
  3. Click on Join Meeting.

Method 2

  1. In the dashboard, select Meetings.
  2. A screen will appear that says “My Webex Meetings” showing both the meetings you are the host for and meetings you are invited to.
  3. Within the list of meetings, click the blue text “Join” beside the desired meeting, then the Join button.

Note: If the host has not started the meeting on their end, you cannot join the meeting.

If you would like to immediately host a meeting and start it:

  1. Use your web browser to connect to https://uoguelph.webex.com
  2. Login to Webex.
  3. On the Home page click on Start Meeting.
  4. A Webex meeting window will open immediately.
  5. From this window, you can click the More Options button on the dashboard at the bottom of the screen, where it will give menu options such as to Invite and Remind participants. Alternatively, you can copy the meeting URL and send it to people you would like to participate in the meeting.

If there is a meeting starting immediately and you have been invited as a participant you can join it in the same fashion that you join a scheduled meeting.

Method 1

  1. In the invitation you received via email, there is a link under green text that says, “Join Webex meeting”. Click on this link.
  2. A Webex page will load in your web browser. Enter your name and email address.
  3. Click on Join Meeting.

Method 2

  1. In the dashboard, select Home.
  2. A block at the top right says “Join a Meeting”, by clicking on a circle with the host’s initials/profile picture (if it is a Recent Personal Room), or by entering the meeting number or host’s Personal Room ID.
  3. Click on Join Meeting.

If you are the host of the meeting, you can cancel it.

  1. Click on the Meetings tab on the Webex dashboard.
  2. A My Webex Meetings box will appear with a list of your upcoming meetings.
  3. Select the meeting you would like to cancel by clicking on its title. When hovering over the text it will turn blue.
  4. Click on the garbage can icon to cancel the meeting.   Garbage can icon to cancel a meeting
  5. Click on OK to cancel the meeting.

Note: An email message will be sent to all attendees that the meeting is cancelled. The meeting will also be removed from your list of Webex Meetings.


Host:

As the host, you can either leave or end the meeting by clicking on the red “X”.

  1. A menu will pop up where you can chose to end the meeting or leave the meeting.
  2. To end the meeting, click End Meeting, this will end the meeting for all participants.
  3. You can also choose to leave the meeting without ending it, by selecting the Leave Meeting option.
  4. You will be prompted to choose a new host for the meeting before you leave.
  5. If you do leave a meeting without ending it, you can rejoin it if the new host invites you to it by sending you the URL for the meeting or inviting you via email. Upon rejoining the meeting you will become the host again.

Participant:

  1. Click on the red "X" to Leave Meeting.
  2. You will be prompted to confirm that you want to leave the meeting.
  3. Click on Leave Meeting.

Note: You can rejoin the meeting by clicking on the Join Webex meeting link in the invitation you received via email.

To start sharing:

  1. If you want to share your screen with the participants in the meeting, click on the Share Content icon.
  2. A bar will display at the top of your screen while you’re sharing it.
  3. If you hover your mouse over this bar a menu will drop down which gives you access to a rich set of controls to alter how you are sharing the screen.
  4. Alternatively, you can click on Share on the menu at the top of the Webex window and select what you want to share.
  5. By clicking on Share in this bar, you can toggle what you are sharing to options such as a file or video, share a specific application, or start a whiteboard for group collaboration.

To stop sharing:

  1. To stop sharing your screen, move your mouse to the top of the screen you are sharing. Hover your mouse over “You’re sharing this screen”. A grey bar will drop down, click on Stop Sharing.
  2. To stop sharing an application, click the red Stop button in the top right of the shared application.
