Webex - What's New, What's Changed

As the Webex service is upgraded, the feature set will change. Some new features will be introduced, some existing features will change, and some features will be deprecated. See additional notes below.

Upgrade from WBS39 to WBS40

On Tuesday, September 1 (10:00PM - 11:59PM), CCS will be performing maintenance on the University’s Webex service. During this maintenance window, the Webex service will be upgraded from WBS 39.5.25 to WBS 40.6.8 [was 40.6.6 in original announcement]. The upgrades are required to ensure continued vendor support ahead of the end of support date for the current version of November 13, 2020. No service interruption is expected during this time, but it is suggested not to schedule or host any meetings during this time. Once the maintenance window is completed you will be asked to upgrade your desktop applications after you login. Managed Desktop clients will have the software upgraded ahead of time (including installation of Cisco Webex Productivity Tools or enabling Webex Scheduler for Office 365 enabled where appropriate - see additional notes below).

Some of the improvements and changes include:

  • An easier start/join process - less chances of starting/joining the meeting without audio/video.
  • Separating the integration tools available in the Webex desktop application out into a separate product, Cisco Webex Productivity Tools. 
  • Streaming from Webex Events now available.
  • Virtual backgrounds.
  • Participants view of what you are sharing.
  • Automatic transcription of recordings. [Enabled on September 3 2020 ] NOTE: You can disable automatic transcriptions of recordings in your Webex preferences. See the Create Recording Transcripts in Cisco Webex Meetings and Events article for more information. 
  • MP4 for local recording [previously delayed due to compatibility issues, now enabled]
  • People Insights [previously delayed due to compatibility issues, now enabled] - see previous announcement for more information 

Changes to recommended practices and procedures:

  1. Macs and Productivity Tools: CCS is recommending to not use Productivity Tools on Macs, but rather, to use the Webex Scheduler for Office 365 add-in. This is for two main reasons:
    • Microsoft has announced that plug-ins like Productivity Tools will no longer be permitted by the end of 2020. Rather than installing and using a tool that will need to be removed at some time in the near future, deploying and using the Webex Scheduler for Office 365 is the better long term approach. Webex Scheduler for Office 365 will work in both Outlook web access and Outlook desktop app. To request the Webex Scheduler for Office 365 to be added to your Office 365 account, please submit a feature request. NOTE: CCS Managed Desktop (Mac) clients who currently have the Webex Desktop Application installed will automatically have the Webex Scheduler for Office 365 enabled for their account. 
    • Productivity Tools updates on the Mac require administrator privileges, where as the the Webex Scheduler for Office 365 will be upgraded automatically and made available. Deploying and using the Webex Scheduler for Office 365 for Macs will simplify the Webex experience.
  2. Productivity Tools vs Webex Scheduler for Office 365 on Windows PCs: CCS is recommending using either Productivity Tools or Webex Scheduler for Office 365, but not both. This is due to an incompatibility between the two tools as announced by the vendor. The vendor is continuing to improve both tools and hoping to have compatibility between the two tools available soon. Until then, CCS will be modifying the procedures for enabling Webex Scheduler for Office 365 by asking you to first uninstall Productivity Tools if you have this installed. The Webex Scheduler for Office 365 is required for those individuals who (primarily) use Outlook web access to schedule their meetings. NOTE: CCS will be reaching out to those individuals who have had the Webex Scheduler for Office 365 enabled for their Office 365 account and coordinating the removal of one of the tools if both have been installed.

Tuesday, July 7, 2020: Maintenance patch applied (WBS 39.5.25)

On Tuesday, July 7 from 10:00 PM to 11:59 PM, CCS will be performing maintenance on the University’s Webex service. During this maintenance window, the Webex service will have a maintenance patch applied as required by the vendor. No service interruption is expected during this time, but it is suggested not to schedule or host any meetings during this time. Once the maintenance window is completed, those using the Webex desktop application will be asked to upgrade their application. It is important to complete this step by July 10 to ensure uninterrupted service operation.

Tuesday, April 14, 2020: Live Streaming Enhancements for Webex Meetings

Beginning Tuesday, April 14, 2020, CCS enabled live streaming enhancements on the University's Webex Meetings service. In addition to Facebook Live streaming, you can now stream to any streaming service that supports Real-Time Messaging Protocol (RTMP) or Real-Time Messaging Protocol-Secure (RTMPS), such as streaming on Twitter using Periscope Producer, Workplace from Facebook, and YouTube with YouTube Live.

NOTE: Currently, only the Facebook Live streaming option is visible, but when you select this, you will be prompted to pick another streaming solution.

Thursday, August 29, 2019: Automatic Webex account provisioning extended to all students

Begining Thursday, August 29, 2019, automatic account provisioning for Webex accounts has been extended to include all students. 

Thursday, August 22, 2019: Webex Service and Feature Upgrades

On Thursday, August 22, 2019 CCS upgrade the campus Webex service from v33.6 to v39.5. With these latest upgrades, the University's Webex service will see a number of new features available. Some of the improvements include:

  • Upgrade to the latest desktop tool 
  • Webex Scheduler for Office 365 (Outlook Web Access) : This will allow you to book not just personal room meetings (see @webex feature below), but also scheduled meetings using the new Webex Scheduler plug-in for Outlook Web Access. (Requires activation - please submit a service request).   • Webex Scheduler for Microsoft Teams : This will allow you to install a Webex tab into any of your Microsoft Teams spaces to easily schedule Webex meetings that include the space membership. For more information visit the Webex article Cisco Webex Meetings for Microsoft Teams.
  • Office 365 integration improvements : This will allow us to deploy new features like Webex Scheduler for Office 365 and for Microsoft teams easier in the future.
  • People Insights : People Insights provides Webex Meetings users with comprehensive, real-time business and professional profiles of meeting participants, giving users context and increased insight about the people in their meetings. Friday July 26 2019 through Monday July 28 2019: Migration of the University's Webex service to a new management platform.

Beginning on Friday July 26 at 6:00 PM and ending on Monday July 29 at 8:00 AM, CCS will be performing maintenance on the University’s Webex service. During this maintenance window, the University’s Webex service will be moved to a new management platform offered by the vendor and Webex services will be unavailable. For more information about the maintenance, including details surrounding what impacts it will have and what steps you will need to take, refer the Webex Service Maintenance announcement.

The following improvements are introduced with this maintenance:

  • Automatic Account Provisioning: All part-time and full-time faculty and teaching positions (including visiting professors, sessionals, professor emeriti), and all full-time staff will receive Webex accounts automatically. There will be no need for these individuals to request a Webex account. Webex accounts will still need to be requested for part-time staff and organizational accounts using the CCS - WebEx Account Request form.
  • Network Recording: Network (cloud) recording will be enabled for all Webex accounts. You will be able to access your recording via the University webex site: uoguelph.webex.com . Network (cloud) recordings will be in HQ/HD MP4 format. NOTE: MP4 HQ/HD settings may take a few days to become available and are expected to be set by Thursday, August 1st. 
  • @webex location shortcut: Webex Personal Room meetings can now be booked from both the Outlook desktop application and web application by including "@webex" in the meeting location when you schedule the meeting in your calendar. NOTE: Please see information about booking Personal Room meetings in the Frequently Asked QuestionsKnown IssuesLimitations and Best Practices support sections.

The following changes are introduced with this maintenance:

  • All email addresses associated with University Webex accounts will be in the form of <userid>@uoguelph.ca or <userid>@guelphhumber.ca, depending on your affiliation. Aliases will no longer be associated with University Webex accounts.
  • When logging in to the University webex site, uoguelph.webex.com, you will notice you are now first directed to a Cisco Webex portal (idbroker.webex.com) and prompted to enter your email address before you are redirected to the University’s single sign-on page. Be sure to enter your email address in the form of <userid>@uoguelph.ca or <userid>@guelphhumber.ca (depending on your affiliation).

In addition, the following improvements have happened since the last upgrade notice:

  • meeting participants increased to 1000 participants [always available, recently confirmed]
  • video endpoint participants increased to 200 participants
  • support for streaming via Facebook Live (requires activation - please submit a service request)

Tuesday May 7 2019 : Upgrade from Webex v32 to Webex v33 (several components) 

On Tuesday May 7 CCS upgraded the University's Webex service. The upgrades are required to ensure continued vendor support ahead of the end of support date for the current version (v32) of May 24, 2019. In addition to the upgrades, some additional changes were made to address recent email verification notices that were presented when logging in to the Webex web interface. There will be two major changes with the new version, v33 : 

  • Meeting management tools will be merged into the desktop application, eliminating the Productivity Tools component. 
  • A different look and feel to Webex - moving to a more video centric approach.

Managed Desktop clients will have the new desktop application installed automatically following the upgrade. For workstations that are not serviced by Managed Desktops, the software can be downloaded and installed from the University’s Webex site. Although Webex v33 is compatible with previously installed versions of Productivity Tools, it is recommended to install the new desktop application to take advantage of feature enhancements.
