Checklist for New Graduate Students

Welcome to the Department of Chemistry at the University of Guelph! Please find below a list of important things to do to help you transition into your new role as a Graduate Student in the Department of Chemistry.

Meet Your Supervisor

If you haven’t been in contact with your Graduate Supervisor (Advisor) prior to your arrival, then you should arrange to meet with them as soon as possible. Your Supervisor will be able to advise you on many topics, including which courses you should register for, where your office will be and which keys and electronic access you will require. Course Enrollment

Course enrollment is done via your WebAdvisor account. Please go to the Registration Guide for detailed instructions, including a WebAdvisor tutorial. Please note: If you receive an error notification when you are trying to enroll, you may have to fill out a Course Add/Drop form and email it to Enrollment Services at es@uoguelph.ca
In terms of registration, please log onto WebAdvisor and register for the following:

  • UNIV*7510 – Active full-time registration or UNIV*7520 - Active part-time registration (depending on your program)
  • UNIV*7500 – Research/Writing
  • Plus any additional courses discussed with your Advisor

Payroll

In order to be paid through bi-weekly payroll, graduate students are required to provide the following information to the University:

  • Up-to-date address information (both local and permanent address and telephone information)
  • Social Insurance Number (SIN)
  • Emergency contact person information (email and phone number)
  • If International, passport, study permit, SIN info
  • Direct Deposit information (void cheque or a direct deposit set-up document from your bank indicating the transit numbers)

University employees and graduate students can access electronic pay statements via the Employee Portal. If you choose to pay your tuition via regular payroll deductions you should check WebAdvisor and your E-pay Statements to verify that these are being made.

Pay Your Tuition Fees and Graduate Settlement

In order to view and pay your tuition, log in to WebAdvisor using your University assigned username/password. If you are paying directly, please note that cash payments are no longer accepted. You will need to set up online banking with your chosen bank in order to make payments.

Alternately, you can opt to settle your account using the Graduate Settlement link found under the Finance heading in Webadvisor.

  1. Payroll deduction, with departmental approval (this allows you to pay your tuition in installments deducted from each paycheque)
  2. Awards (scholarships) -- reminder that awards are not automatically applied to your tuition unless you request this option

Keys and Electronic Access

Some rooms/labs require physical keys, while others have a magnetic/electronic lock that can be opened with a student card. Your advisor will tell you which rooms/labs you'll need to access. Your advisor then needs to contact the Chemistry Stockroom (chemistrystockroom@uoguelph.ca) to provide authorization and a list of rooms for your access. Once your advisor has authorized the Chemistry Stockroom to set up your keys and swipe-access, please visit the Chemistry Stockroom to pick up your keys. You will need required to pay a $20.00 Cdn deposit for the keys.  You can pay using a debit and/or credit card to pay for your deposit. (Your deposit will be returned when you return your keys upon graduation.) 

Health and Safety Training

You are required to complete 3 online safety modules before you start working in any labs or teach undergraduate lab sections. These courses include:

There are other required courses that can be completed via your Courselink Account. Please logon using your UofG central login id and access the following courses:

  • Accessible Service Provision
  • Making Education Accessible
  • COVID-19 Safety Training Modules
  • Department of Chemistry TA Training

Please check with your supervisor to see if you will be required to complete the following online courses:

Health and Safety training (WHIMIS) is required by law for all students working with or around Hazardous Materials. Your Supervisor will also provide additional training regarding specific hazards related to your chosen research.

Please save a pdf of the course completion certificate for the first 5 courses. You will need to provide copies to the Administrative Officer (chemadmin@uoguelph.ca) for your HR file and feel free to add your Faculty Supervisor so that they also have a copy. You will need to show your Department of Chemistry TA Training badge to your Lab Coordinator.
