Making an Offer and Confirming Work Study Employment

Please review the Work Study Hiring and Payroll Procedures [1] before making an offer to a student.

To confirm a student's hiring into a Work Study job:

  1. Make an offer to the student through the Experience Guelph system.
    • To make an offer, click the "Send Offer" button next to a student's application in Experience Guelph. The student will have 48 hours to respond to your offer.
    • If you are planning to re-hire only students that have previously worked for you can skip this step.
  2. Submit a Confirmation of Employment form (Word, 21 KB) [2] to the Student Awards Office (awards@uoguelph.ca). This form should be submitted as soon as possible when the student is hired.
  3. Complete departmental and Human Resources payroll paperwork.

To confirm a REHIRE into a Work Study job:

  1. Have your intended student send you a copy of the Work Study Needs Assessment approval email from Student Awards.
  2. Forward the student's Work Study approval email with the current 6-digit JobID to experience@uoguelph.ca and we will create the employment record in Experience Guelph.
  3. Submit a Confirmation of Employment form (Word, 21 KB) [2] to the Student Awards Office (awards@uoguelph.ca). This form should be submitted as soon as possible when the student is hired.
  4. Complete departmental and Human Resources payroll paperwork.

All steps must be completed in order to receive the Work Study reimbursement.
