Dispute Resolution Process
It is the policy of the University to resolve Postdoctoral Fellow (PDF) problems, concerns and disagreements quickly and fairly. The purpose of the following process is to provide an orderly and standard administrative process by which PDFs may seek resolution of differences that may arise concerning terms and conditions of employment and other work-related matters.
Nothing in this process prevents a PDF from discussing problems, personal or work related, with supervisors.
PDFs who have a work-related problem should discuss the problem with their immediate supervisor as soon as possible. The supervisor will respond in writing within seven (7) business days of the discussion. If the PDF and supervisor are unable to resolve the problem, the employee may proceed to the next step.
Within ten (10) business days of receiving the supervisor’s decision, the PDF may submit the problem, in writing, to the supervisor’s supervisor, who will convene a meeting with the PDF and the supervisor. A representative of Faculty and Academic Staff Relations may be present at such a meeting at the request of either party to assist in resolving the dispute. Such meeting shall take place within ten (10) business days of receipt of the concern. The supervisor’s supervisor will then reply, in writing, within ten (10) business days of the meeting.
Within ten (10) business days of receiving the response at Step 1, the employee may, if the issue remains unresolved, submit the formal concern, in writing, to the Assistant Vice President (Graduate Studies) or designate. The submission shall include the nature of the concern, the steps already taken to find a remedy and a clear statement of the remedy sought.
The AVP (Graduate Studies) or designate will issue a response to the PDF within fifteen (15) working days.
This process is not designed to address human rights, workplace harassment or workplace violence complaints.
Workplace harassment or violence complaints should be made to Occupational Health and Wellness in accordance with the University’s Workplace Harassment Prevention Policy and Workplace Violence Prevention Policy.
