Reporting to the Executive Director, Strategy and Planning, the Associate Director, Administration & Operations (ADAO) is the senior administrative officer for the Ontario Veterinary College (OVC) with responsibility for the administrative support of the OVC’s four academic departments, Dean’s office, Health Sciences Centre, and various other units, such as Equine Guelph, Institute for Comparative Cancer Investigations, Centre for Public Health and Zoonoses, and Comparative Clinical Research Facility, among others.

As part of their mandate, the ADAO leads OVC Shared Administrative Services (SAS), currently comprising 23 employees across the following six teams:

  • Operations
  • Financial Services
  • Veterinary Program Administration
  • Human Resources
  • Graduate and Research Program Administration

Five Managers report directly to ADAO, who is fully responsible for all aspects of OVC Shared Administrative Services operations.

The ADAO is the most senior expert in academic Human Resource (HR) management at OVC, overseeing and guiding hiring and retention of faculty and non-academic staff, performance management, dispute resolutions, and labour relations. In this capacity, the ADAO supports the Dean, Associate Deans, Department Chairs, Directors, and leaders of other units at OVC.

A major responsibility of the incumbent is to serve as liaison with Faculty and Academic Staff Relations (FASR) on matters related to faculty and Veterinarians (UGFA), Sessional and Graduate Teaching Assistants (CUPE 3913, Units 1 and 2) and with central university Staff Relations and Human Resources on matters related to all staff.  This liaison includes attendance at grievance meetings, strategizing around the implementation of new business models and/or practices that impact personnel, while ensuring all collective agreements are honoured.  The incumbent reviews and recommends the Dean’s approval on all job postings and job evaluation requests. The ADAO is the steward of the Tenure and Promotion process and integrated staffing planning at OVC.

As a key member of the management team at OVC, the ADAO is responsible for select regulatory reporting, such as the annual report to the Ministry of Colleges and Universities (MCU), and the annual report to the American Association of Veterinary Medical Colleges (AAVMC). They are often called to serve on College and University committees.

The ADAO is a key contributor to strategic planning and resource allocation decision making at the OVC and is a permanent member of Dean’s Council and the Dean’s Management Team.

To be considered for this integral role at OVC, candidates must have:

  • An undergraduate degree in business, commerce, human resources; at least eight years of experience in a similar leadership role. 
  • A Master’s Degree in a relevant field of study preferred.
  • Strong leadership and interpersonal skills are essential for success in this position
  • Experience with human resource planning and labour/staff relations
  • Experience with strategic management, continuous quality improvement and project and change management
  • Excellent communication and negotiation skills
