Reporting to the Director of Health, Safety & Wellness, the EHS Associate provides consistent and quality administrative and financial support to the Director and the Environmental Health and Safety department. The incumbent will anticipate the administrative support needs of the group while taking the initiative to optimize the effectiveness and efficiency of the group’s administrative needs. Specifically, the incumbent will: ensure the EHS website is kept current according to the ongoing activities of the department, including managing enrolment and records for online courses, making updates to existing policies, programs and procedures, ensuring AODA compliance; scheduling and organizing training, including preparing and distributing training certificates; ensuring EHS databases are maintained, records are consistent and user inquiries are resolved in a timely manner.

The EHS Associate will also advise the Director on the departmental budget, forecasts, and expense management; produce reports for internal use and external agencies; prepare and process purchase orders; assist in coordinating the radiation dosimetry program; and support EHS-related committees.  This includes scheduling of meetings and inspections, minute-taking, and distribution of related documents and supporting the department’s health, safety, injury prevention, regulatory compliance, and training initiatives.  The incumbent will also compile department metrics and develop design briefs and dashboards; and provide assistance on emerging projects in support of the EHS disciplines. 

Requirements of the position include:

  • Two-year Community College diploma plus demonstrated related administrative experience, or equivalent combination of education and experience;
  • Knowledge of budget monitoring and basic accounting skills;
  • Demonstrated expertise in Microsoft Office programs (Outlook, Word, Excel, PowerPoint, Teams, One Drive, SharePoint, Visio);
  • Knowledge of Graphic Design software, Courselink, WebEx, Zoom, Qualtrics and Drupal or similar software would be considered an asset;
  • Proficient user of databases with understanding of database structure, basic database programming capabilities an asset (i.e. Access);
  • Capabilities using social media (i.e., Twitter);
  • Excellent communication, organization, and time management skills with the ability to handle multiple tasks and meet deadlines;
  • Attention to accuracy and detail; tact, professionalism, diplomacy and able to maintain high levels of confidentiality with regards to sensitive matters.
