Reporting to the Supervisor of Client Services and Recreation, the Client Services (CS) Clerk position assists with the recruitment, training, hiring and functional supervision of approximately 45 part-time student staff.  The Clerk position is responsible for effectively communicating information, being knowledgeable and having an in depth understanding of all programs, services and events that are occurring in the department and providing a consistent and high level of customer service. He/she is responsible for ensuring the day-to-day activities of Client Services are conducted with efficient and effective customer service, adhere to internal control policy and procedures and fulfill building safety and security requirements.  As a front-line ambassador for the Department of Athletics, the incumbent must be able to problem solve, resolve conflicts and disseminate accurate and timely information to Athletics Centre members, other unit areas and the general public. He/she is responsible for daily functional supervision of part-time staff, administering work schedules, assigning tasks, validating hours worked for payroll, and dealing with minor discipline issues. Having a functional supervisory role, the Client Service Clerk is accountable for ensuring part-time student staff daily task responsibilities are appropriately assigned and completed.  Daily, the Client Services Clerk position will be responsible for the closing of multiple Athletics Centre facilities and conducting daily building inspections and security checks to identify and report facility concerns or inappropriate conduct by users. 

Point of Sale transactions will be conducted by the Client Services Clerk.  In order to perform over the counter sales the incumbent will be responsible for understanding and utilizing the ActiveNet Software Application.  He/she will be required to process membership fees, sell available merchandise, sell Box Office tickets, rent/lend equipment and register clients for courses. In addition, the Client Services Clerk will be responsible for processing refunds, running daily cash balance reports and performing multiple forms of purchase transactions requiring cash handling.  He/she is also responsible for training part-time staff in regards to cash handling processes and procedures. Inventory , monitoring and replacing of all equipment that can be signed in and out at the Client Services counter, is the responsibility of the CS Clerk.  He/she must also perform tasks associated with the laundry service provided by Client Services, handle and secure lost and found items and deal proactively with customer concerns as they arise.  As an effective communicator, the CS Clerk answers customer enquires either in person, via email or over the phone.  Client Services is a central point of contact for the Department of Athletics, therefore the CS Clerk position plays an integral role in overall functioning of the Department of Athletics. 

Requirements of the position include: One year Community College with a minimum of 6 months experience in customer service, cash handling and client service administration, or an equivalent combination of education and experience. The successful candidate must have strong verbal communication skills, customer service abilities and work well within a dynamic and demanding team environment.  He/she must have excellent leadership skills and the ability to train and monitor the performance of a transient work force.  Effective problem solving and conflict resolution skills combined with demonstrated initiative is crucial to the positions requirements.  Strong computer skills and familiarization with the ActiveNet Registration Software system and Microsoft Office Applications is an integral component to the candidate’s qualifications.

The Client Services Clerk position hours are Monday to Friday starting 8 hours prior to building close time until close (typically 2:30pm -10:30pm May, June, and August and 4:30pm to 12:30am September to April).  Hours may be subject to change with notice in accordance with the Collective Agreement. A flexible schedule will be required.
