The position is responsible for providing clerical support for the Diagnostic Imaging Department which consists of three Small Animal and one Large Animal suites, CT scanner, MRI unit, Ultrasound unit and Nuclear Medicine. The position is involved with: the processing of radiology requisitions and related invoicing; scheduling procedures; filing and retrieving diagnostic imaging material; and filling requests for sending imaging studies and reports to external stakeholders.

Specific responsibilities include:

  • Scheduling procedures and preparing room assignments
  • Organizing daily/weekly radiology requisitions by date and time for Small and Large Animal Clinics
  • Monitoring examination rooms to ensure activities are operating efficiently
  • Ensuring that all Diagnostic Imaging requisitions have valid patient demographics and exam data
  • Organizing the schedule by placing patients into the appropriate time slots
  • Making arrangements for patients to be brought to examination rooms for procedures
  • Importing external imaging studies into the Picture Archiving and Communications System (PACs)
  • Creating and managing PACs user accounts according to established guidelines.
  • Providing basic training to the clinical team on how to use the PACs
  • First line trouble shooting PACs related problems and requesting support from the HSC informatics team and vendor when required
  • Answering all phone messages and relaying messages to appropriate person
  • Verifying automatic billing
  • Performing other functions as required and/or assigned

The incumbent will be cross-trained in other areas and will be assigned to work in a variety of service areas based on operational requirements.

Requirements of the position include: 

  • Secondary school gradation plus some related experience, or an equivalent combination of education and experience
  • Completion of a Medical Office Administration program or medical secretarial program is preferred
  • Working knowledge of medical terminology
  • Demonstrated computer and general office skills
  • Experience and competency with electronic medical records and PACs
  • Excellent interpersonal and client service skills,
  • Excellent organizational skills and the ability to work in a hectic environment with constant interruptions
  • Excellent communication skill, written and verbal
  • Flexibility in scheduling availability is required

A protective rabies titre is required.
