Reporting to the Manager, Transportation Services, the incumbent will be accountable for a variety of administrative support functions in a vehicle services environment where excellent customer service, accuracy and attention to detail are a top priority.  The incumbent is responsible for scheduling and coordinating with clients, regularly scheduled vehicle service work and repairs in accordance with the University’s Licensed Vehicle Policy and Guidelines. The incumbent acts as the main liaison between technicians and clients, providing information and explanation to clients, and documenting all work that has been performed in the maintenance management system. The position also responds to unexpected emergencies and breakdowns, working with senior vehicle mechanics and manager to adjust scheduled work to ensure that vehicles and equipment remain operational. The incumbent will source and order parts and supplies and arranges for services to be provided by outside specialized vendors, enter charges for parts and/or outside specialized vendor invoices into the computerized maintenance management system.  This position will also be required to assist manager or senior vehicle mechanics with pick up and drop off of vehicles as required. The incumbent will also be required to provide office administrative support as required in the form of; word processing; working with spreadsheets; performing data entry; typing letters, memos, and other correspondence; taking minutes; verifying, distributing, and processing invoices; answering phones; taking messages; booking meeting rooms; arranging hospitality and ordering audio visual equipment for meetings; arranging meetings, which may involve external stakeholders/vendors; and other duties as assigned. 

Requirements of the position include: a community college diploma in administrative business management; (office administration preferred), together with a minimum two years’ experience in a busy automotive office environment, or an equivalent combination of education and experience.  Additional requirements include:   knowledge of Microsoft Word, Excel, electronic filing and email; accounts payable or financial administrative experience, including an understanding of general ledger coding structures; and mathematical proficiency.  The successful candidate must have excellent interpersonal, communication and customer service skills; demonstrated ability to multi-task and organize; the ability to work independently and as a part of a team; sound judgment, tact, and diplomacy; accuracy and attention to detail; and analytical skills.  Knowledge of the University campus including building names, numbers, locations and departments is an asset.  Experience with data entry and database systems such as Megamation Systems, would be an asset.
