Reserving Classroom Space

Student Club Room Bookings for Fall 2021

Student Clubs are permitted to access bookable space during the Fall 2021 semester under certain circumstances. Please review the expectations and limitations of in-person, on-campus events (PDF). All student-organized events must go through the Student Events & Risk Management (SE&RM) process prior to booking space. Student Clubs should reference the SE&RM COVID-19 Check List (PDF) when planning their activities.

Student Club room bookings will not be processed until the week of September 27 at the earliest.

Please note that Scheduling Services staff are working remotely due to our office renovation. We are only available by email at this time.

If you need to reserve classroom space, please email orsrooms@uoguelph.ca and include in your request all of the required information indicated below based on the type of activity being scheduled. Requests not containing the required information will be returned and may result in your request not being processed.

We require a minimum of 4 business days to process a room booking. See below for timelines specific to each type of request. 

 

Student Clubs MUST be CSA accredited. College and Departmental Clubs should include their departmental administrator on all emails.

Student Club requests are generally processed on a monthly basis. Please note due to limited space during the academic day (Monday – Friday 08:30 – 17:30) it will not be uncommon for us to not be able to find space for your request. It is recommended that Student Clubs plan their events in the evenings or on weekends to increase their chance of space being available.

Please ensure your request includes the following information, College and Departmental clubs must include their departmental administrator on all emails:

  • Name of Club/Event
  • Purpose of Request
  • Date Required
  • Time Required (Start and End Time)
  • Number of Attendees (MUST be accurate)
  • Campus Location or Building Preferred
  • Contact Person: Name, Phone, Email Address

 

Academic requests are booked on a semesterly basis. For information specific to midterms please refer to Midterm Room Booking.

Breakout rooms/additional rooms/room changes should be sent to courschd@uoguelph.ca prior to the start of the semester based on scheduling timelines.

  • Course Code
  • Instructor
  • Date Required
  • Time Required (Start and End Time)
  • Purpose
  • Number of Students
  • Preferred Location

  • Requesting Department
  • Purpose of Request
  • Date Required
  • Time Required (Start and End Time)
  • Number of Atendees (must be accurate)
  • Campus Location or Building Preferred
