W26 Deferred Assessment Extension

Winter 2026 Extensions

Please read the following information carefully. This process applies to Bachelor of Arts students only. Students in other degree programs should contact the Program Counsellor for their degree program for instructions. To confirm your degree program, please refer to your My Progress page on WebAdvisor.

This process only applies for students who were granted a Deferred Assessment for the W26 semester and now require an extension.  If you have missed a midterm exam or an assignment in one of your S26 courses you MUST contact your instructor directly.

Winter 2026 Deferred Final Exams will be written June 8-12, 2026.  If you are unable to complete your scheduled deferred assessment for medical, psychological or compassionate reasons, then please follow the instructions outlined below:

  1. Complete the Request for Academic Consideration (RAC) form.
  2. If you are requesting an extension for a deferred final exam, select “Deferred Final Exam” on the form and enter the date the exam was missed. You should then email ORS Exams at orsexams@uoguelph.ca at least 24 hours in advance if you know in advance that you will be unable to attend.
  3. If you are requesting an extension for a deferred condition, select “Deferred Condition” on the form.
  4. Write a small explanation of your circumstances.
  5. Using your University of Guelph email account, attach your completed RAC form, your explanation of circumstances along with your supporting documentation (in one PDF form if possible) and email the documents to baco@uoguelph.ca. Please include "W26 Deferred Assessment Extension" in the subject line of your email.

 

Important Information to be noted:

 

  • Supporting documentation will be required for an extension request to be approved.  This can include documentation from any type of health care provider (Doctors note, Counselling Services, Naturpath, Dentist, etc.) or anything that would validate your circumstances. If you have concerns about not being able to obtain documentation, then please provide an additional explanation on the deferred assessment request form detailing your situation.

  • All Deferred Assessment Requests must be received no later than five business days after the missed extension date.

  • Do not write a deferred final exam or complete a deferred condition unless you are confident that you are fit and able to do so. Otherwise, only very limited options exist for academic consideration, none of which are guaranteed.

  • A $200 administrative fee will be charged to your student account if you fail to attend a scheduled in-person deferred exam. This fee applies per exam missed. For example, if you miss two in-person deferred exams without proper notice, you will be charged $400. To avoid the fee, you must email ORS Exams at orsexams@uoguelph.ca at least 24 hours in advance if you are unable to attend. If an extension is granted, you will not be charged this fee.

How will I know if my Deferred Extension request has been approved?

  • You will receive an email from the Registrar’s Office confirming whether your request has been approved. This email will include the deadline date for completion, along with any other important action items that may be required.

I no longer live in Guelph and have an in-person exam scheduled during the deferred examination period?

  • Students who live more than 170 kilometres from the University of Guelph during the deferred examination period may apply to write their deferred exam at an approved academic institution (high school, college, or university) in their local area. An Off-Site Invigilation form must be completed and signed by the invigilator.

  • A deferred examination package will be sent by FedEx to the institution listed on the completed form. All deferred exams must be completed on the scheduled deferred exam date. If there are costs associated with invigilation, it is the student’s responsibility to pay the invigilator directly.

  • Students who live within 170 kilometres of Guelph must make appropriate arrangements to travel to Guelph on the scheduled deferred examination date.

I had an online final exam. Will it remain the same format, and how do I access it?

  • If your final exam was held online then unless you have receieved notification that this has been changed to an in-person final, the exam will occur in the same format as the final.  Follow the same instructions that were outlined. If you are unsure or have questions, you should contact your instructor directly.

If my final exam was in-person, can I request to change this to an on-line final exam?

  • No. You cannot request a change to the format of a final exam.
