U of G Research in Focus photo contest - How to Enter

Eligibility

  1. To be eligible, you must currently be a faculty member, staff member, student or postdoc at the University of Guelph.
  2. Photos must be at least 1200 x 900 pixels and no smaller than a megabyte.
  3. Photos that are illegal, defamatory, or in any way obscene, will be disqualified.
  4. Photos generated or manipulated by artificial intelligence will not be considered.

Submission Requirements

  1. You must submit your entries and photos by November 8, 2024, at 11:59 pm EST. The University is not responsible for late, lost, misdirected or delayed entries. Entries will be rejected if not received within the submission period.
  2. Eligible entries are photos that depict University of Guelph research and were taken between November 2020 and November 2024. Photos that were entered into any previous Office of Research photo contest will not be considered.
  3. Maximum of three (3) photo submissions per person.
  4. Minimal digital alterations are allowed (e.g., color correction, tones), but compositional changes, as well as added watermarks or signatures, will result in an automatic disqualification.

What to Include in Your Submission 

  1. All submissions need a unique title. Do not re-use titles on multiple photos.
  2. A plain language description of the research and its impact is also required. It can be no more than 85 words.
  3. Include alt text, for accessibility, with your image. The alt text should describe the subject and composition; e.g. Inside a bright, modern barn, a row of dairy cows poke their black-and-white heads through metal feeding gates as they wait for the red tractor to pass by and distribute their meal.
  4. Include whether you are an undergraduate or a graduate student, postdoc, staff member or faculty member. Also include your department, email address and phone number.

Copyright/Permissions

  1. Your submission must be your own original work and must never have been previously published, exhibited publicly or selected as a winner in any other contest. Entries not complying with these contest rules will be disqualified.
  2. You grant the University of Guelph the exclusive right in perpetuity to publish and use your submission, as is or as edited at the University of Guelph’s sole discretion, accompanied in any advertising and promotion by the University of Guelph without further compensation, including but not limited to University of Guelph’s websites, social media pages, brochures or any form of media in Canada and throughout the world. Photos will not be sold, nor will they be used in a manner that would exploit or cause malicious representation toward the entrant. You will retain copyright of the photo.
  3. The University of Guelph requires the consent of all individuals who are included in the photo. Please have each individual complete the Photo Release Form. This form must be submitted at the same time as your entry along with the related photo. If the photo is taken in a restricted location such as a locked laboratory, you will need consent from the laboratory supervisor(s) of the location featured in the photo. In that case, please submit a Photo Release Form.
  4. If the entrant is not the photographer, entrant must obtain photographer’s permission and submit the Photo Release Form signed by the photographer.

Winner Selection

  1. Judging will be completed and the winners contacted by December 1, 2024.
  2. Winners can win only one of first, second, third, agricultural prize or honourable mention, but can also win community choice.
  3. There are five (5) prizes available to be won. First place winner will receive $750; second place winner will receive $500; third place winner will receive $250; community choice winner will receive $500; and the agricultural prize recipient will receive $750. Prizes are not transferable and must be accepted as awarded. If the winning photo is submitted by more than one individual, the prize will be divided equally amongst them. If the winner is a minor, such winner’s parent or legal guardian must accept the prize on their behalf.
  4. Prizes may be considered a taxable benefit to the winners. All income taxes on or connected with the prize, and the reporting consequences thereof, are the sole responsibility of the prize winners. If required by law, the University of Guelph reserves the right to withhold and remit to the appropriate taxing authorities the amount of any taxes due and, for this purpose, prize winners may be asked to provide their social insurance number.
  5. By entering the contest, selected winners agree to comply with these official contest rules and agree to the publication, reproduction, and/or other use of their name, and/or personal photograph or other likeness without further compensation, in any publicity or advertisement carried out by the University in any manner whatsoever, including print, broadcast or digital.
  6. The University of Guelph reserves the right to withdraw, amend, cancel, or suspend this contest in any way, without prior notice or obligation, in the event of an error, technical problem, tampering, unauthorized intervention, fraud, technical failure, or any other cause beyond the reasonable control of the University of Guelph that interferes with the proper conduct of this contest as contemplated by these rules. Additionally, the University of Guelph reserves the right to cancel or suspend this contest if a suitable name is not identified or in the event of any accident, printing, administrative, or other error of any kind.
  7. The University reserves the right to withhold awards if the entries received are not considered of sufficient standard.
  8. By entering this contest, each entrant expressly consents to the University, its agents and/or representatives, storing, sharing, and using the personal information submitted with their entry only for the purpose of administering the contest and in accordance with the University’s privacy policy, unless the entrant otherwise agrees.

General Conditions

  1. No correspondence will be entered into except with the selected winners. This contest is subject to all applicable federal, provincial and municipal laws. Void where prohibited by law. The decisions of the contest judges with respect to all aspects of this contest are final and binding on all entrants without right of appeal.
  2.
